Overview

Iram II Elementary School is a public institution in a remote area of Olongapo City, serving a community where most students come from indigent families and access to technology is limited. With a tight budget and minimal digital infrastructure, the school needed a practical, accessible solution to manage their growing student records, without relying on the internet or expensive hardware.

Our team stepped in with a community-driven development project: a locally installed, offline desktop system that digitizes and streamlines their entire student records process. All data is transferable to other devices in case of hardware failure — a critical consideration for a school with limited resources.

I led a 7-person team through the full Software Development Life Cycle (SDLC), serving as both Project Manager and Design Lead. My role covered project planning, stakeholder communication, timeline management, and the overall UX design of the system used by the school's coordinators and teachers.

Problem

The school was managing all student records entirely by hand, and it was slowing everything down.

  • Student documents like SF10 forms, PSA birth certificates, and ECCD checklists were stored physically, making them easy to misplace and hard to retrieve quickly.
  • There was no centralized system, so accessing a specific student's record meant digging through stacks of paperwork.
  • The school's remote location and limited budget made cloud-based or internet-dependent solutions completely out of the picture.
  • Teachers and coordinators had no way to filter, sort, or generate reports on student records efficiently.
  • Data loss was a real risk, with no backups, a damaged or lost file meant that information was gone for good.

Solution

We built a simple, offline-first desktop system tailored to how the school actually works — no internet required, no complicated setup.

  • Designed and developed a locally installed desktop application that manages SF10 records and supporting student documents in one place.
  • Led requirements gathering sessions with school stakeholders to fully understand their manual workflows and translate them into system features.
  • Designed the full user experience with the actual users in mind — coordinators and teachers with varying levels of tech familiarity, keeping the interface clean, intuitive, and easy to navigate.
  • Implemented role-based access so teachers can only view and edit records within their grade level, while coordinators have full system access.
  • Added backup and restore functionality so student data can be safely transferred to another device if the primary laptop is damaged or replaced.
  • Delivered the complete system 2 weeks ahead of schedule, with comprehensive documentation including a project charter, user manual, and progress reports for a smooth handover.

Conclusion

This project was one of the most meaningful things I've worked on, building something that directly helps a community that genuinely needed it. Seeing the school go from stacks of paper to a working digital system made the effort worth every late night.

Leading a 7-person team also pushed me to grow fast. I learned how to balance project timelines, keep stakeholders aligned, and make design decisions that work for real users — not just in theory. Designing for a system used daily by non-technical staff sharpened my instincts around UX clarity and usability in a way that no classroom exercise could replicate.
